Confirmed and Secured Place at an Event

Your place at an event is only confirmed and secured when you have completed and submitted the entry form on this website AND paid the deposit.

Deposit

We require a deposit of 50% of the total cost to reserve your place at the event, which should be paid no later than 70 days (10 weeks) prior to the event start date. The deposit is non-refundable. Clients should cover all transfer fees that may occur. 

Payment Balance

The balance of the payment must be paid no later than 56 days (8 weeks) prior to the event start date.

Cancellation Policy

If you have paid in full and:

• You cancel
  If either you or Poetic Events finds a replacement for your spot then the balance will be refunded to you in full. Depending on schedules, it may be possible to transfer your balance to another event.

• We (Poetic Events) cancel
  Your monies are refunded in full (deposit + balance).

Payments can be made via PayPal (as a gift, to friends and family) or Wise. Please let me know which method you prefer.

Flights and Arrival/Departure Times

After you have completed the entry form for your desired event, and paid the deposit, please discuss your flight arrival and departure times (before booking them) with Poetic Events so that we can organise transport for you to and from the airport. This is crucial to minimise wait times. We have scheduled arrival and departure times at the airport - if you arrive or depart outside of these schedules, you are responsible for your own transport to and from the event venue.

Photography at Events

• Please only photograph models when they are ready for you. When they are having a break, or transitioning to a break, is not the time to photograph them. If you would like such candid shots, please seek permission from the model themself.

• Guests attending Poetic Events event agree to respect any individual models levels and comfort at all times.

• If you and the model have agreed to publish your images then Poetic Events are more than happy for you to publish them to your own portfolio and use them online on portfolio hosting sites, social media, blogs, and websites, this includes photographic competitions.

• If you are using your own model release please discuss the details which must be entered in it with Poetic Events beforehand.

• All images taken at a Poetic Events event must be properly tagged and credited to Poetic Events and to the model/s in the image. Our Instagram account is @poetic.events. If you are posting to a platform which doesn’t allow tagging then you should provide the URL instead: https://www.instagram.com/poetic.events/
